The Youth Policy Institute is currently seeking a Supply and Inventory Coordinator for the Community School Impact Department. The Supply and Inventory Coordinator must establish procedures for receiving goods, have a system in place not only for checking shipments that come in, but also for reporting discrepancies to management. Manage department equipment and conduct frequent inventory. Will work closely with department staff on coordination of check requisitions, invoice submissions, ordering of buses for field trips, and confirming catering for meetings. Responsibilities may include but are not limited to: Work closely with Purchasing Manager to ensure full process of orders.Responsible for ordering office, program, events, meetings and training supplies. Assist with cost analysis for program requests, ensure compliance for federal grants.Refine Purchase Order Form, templates, and tutorials on purchasing, field trip, and special event process.Assist with spreadsheets, expense reports and/or any program documents.Review and label all incoming technology and program equipment.Assist with reconciling purchase transactions at the end of every month.Receive incoming shipments and communicate with shipping companies to ensure timely/proper delivery.Take inventory of all incoming supplies, equipment, and merchandise to ensure order completion.Create a shipping and receiving system of operation.Schedule and prepare disbursements of supplies, equipment, food for trainings and/or meetings.Support with delivery of supplies to program sites and YPI offices.Ability to lift up to 40:50 municate with vendors regarding invoice questions and inquiries.Set up returns, exchanges, and/or refunds for defective supplies and equipment.Act as the liaison for the purchasing and accounting department.Develop and establish communication with YPI administrative and program staff.Represent the mission and vision of YPI.Prepare invoices needed for submission to accounting; follow:up with accounting regarding status of invoices. Take check requisitions, and invoices to YPIA?s corporate office and/or pick up check as needed.Coordinate monthly bus, catering, reimbursement, purchasing request (receive from staff, review and submit for approval).Deliver bus, catering, reimbursement, purchasing request monthly to YPIA?s accounting and purchasing departments.Meet with Directors and Assistant Directors on a bi:weekly basis to discuss inventory of program supplies and equipment inventory.Coordinate routine inventory check, log out equipment and manage equipment logs.(3) years of related experience, experience within a nonprofit environment strongly preferred.High school diploma required; college degree strongly preferred.Knowledge of product and service purchasing policies and terpersonal/human relations skills.High degree of professionalism, and ability to handle high degree of information.Excellent oral, written communication skills; outstanding organizational skills.Flexible to changing priorities, needs of staff and management.Report preparation skills.Frequent travel between sites.Must have working knowledge of MS Word, Excel, Publisher, Powerpoint and database. management; Excellent knowledge of PC and Appre platforms.Effective interpersonal and customer service skills to be capable of working with all levels of personnel.Analytical and quantitative skills.Ability to interact with vendors and provide assistance to various departments.Other duties as assigned.Access to reliable transportation to travel between work sites.
