Summary:
Under the direct supervision of the Program Director, the Program Coordinator (WBC) role is responsible for providing administrative support, client service activities, and coordination of the in:office Program activities. Primary duties and responsibilities will focus on activities key to meeting the Program goals and objectives. The role may work with other administrative staff based upon clerical workload and budget availability.
* The Program Coordinator role requires occasional (twice per month) evening and/or weekend work.
** Monday: 8:30 : 5:30; Tuesday : Thursday: 9:30 : 6:30; Friday: 8:30 : 5:00; Saturday: 8:30 : 4:00
Note: When Saturday work is required, a day off will be provided within the same work week.

Primary duties and responsibilities include (but are not limited to):
Answer phones, greet clients and visitors; direct each as appropriate
Handling phone inquiries, requests for information and other customer services functions.
Coordinate client enrollments in workshops and training sessions
Conduct preliminary assessment of a clients business needs in order to offer appropriate direction (while meeting Program goals)
Maintain internal client reports and database records, and file documentation : includes obtaining all required documentation; maintaining a hard copy and uploaded computerized files on all participants
Generate Database, and other internal reports as needed, and/or as requested
Follow:up with Program Director and consultants regarding data entry of case notes into Sales Force or similar data base, to assure goal achievement and client success
Assist with coordinating training sessions and workshops, including registration confirmation, preparation and copying of training materials and classroom set:up
Prepare class rosters, track client class attendance, and collect and file class evaluations
Assist Program Director with liaison activities between the various VEDC offices, strategic partners, clients, and local city and government offices
Assisting Program Direct in marketing services of the program to existing and potential start:up business owners, this includes marketing the agencys loan products
Setting and confirm consultation appointments, and maintaining consultation calendars
Refer clients to other VEDC and/or LA City/County programs or agencies to assist them in obtaining other business services not offered by the WBC or VEDC
Oversee local office library activities and maintain library
materials/resources
Participate on periodic department and all agency meetings as required
Other duties as assigned or needed

Qualifications and Experience:
Associate or Bachelors degree in a related field or equivalent work experience of 2:4 years.
One or more years experience in client service or assistance position.
Proficient with Microsoft Office; detail oriented, organized, and ability to multitask.
Excellent written and oral communication skills/ Bi:lingual Spanish highly desirable
Must have ability to work with clients from diverse cultural backgrounds.
