We have an exciting opportunity for an Office Administrative Assistant. The Office Administrative Assistant provides timely, accurate, and professional administrative support to StantecA?s Van Nuys office and other leadership and staff in keeping with Stantecs high standards.What youA?ll do: YouA?re the first one most of our visitors will see, and youA?ll interact with almost everyone there.At the front desk youA?ll be answering and managing incoming calls, greeting visitors professionally and positively, and making sure the public and staff areas are organized and welcoming.YouA?ll make sure meetings go off without a hitch, that the office has supplies before they know they need them, and help staff and managers with travel arrangements and coding invoices. YouA?ll use your strong MS Word skills to create project specifications and proposals, and be able to run and manipulate Excel reports so the staff can manage their projects.YouA?ll also have the chance to help out the HR team by providing onsite support for new hires and for special events and projects like coordinating flu shot clinics.What you need to be successful:Excellent interpersonal skills.Strong working knowledge of Microsoft Office with expertise in Outlook, Word, and Excel.Ability to type a minimum of 60 wpmKnowledge of business communication standards for email, correspondence, and telephone etiquette.Clear and professional verbal and written communication skills.Ability to maintain a professional, polished appearance and demeanor.Strong detail orientation and ability to organize and prioritize a diverse array of assignments and duties.What your prior experience will look like:Associates degree or higher preferred in related field and minimum of 2 years experience in a professional office environment or equivalent combination of education and experience.Professional experience in the architecture/engineering/planning industry.Experience editing and creating specification documents a plus.Other information about the job you need to know:This office observes an alternative work schedule. YouA?ll need to be able to work every Monday through Thursday until 6pm, and every Friday morning. The bonus is you get Friday afternoons off
