Job Description:/h3:
Immediate opening for assistant to Executive Director who will work either 7:4PM and/or 10:7PM as needed (Must be able to do both schedules depending on Administrators schedule) Monday through Friday full time. Health benefits after 3 month training period and 401K with matching from employer after one year. Must be able to multitask all day and be able to focus on multiple priorities. Loud busy office with multiple interrruptions. Need calm low key individual that can take direction and work on multiple projects at the same time. Ability to set priorities and deal with large work load. Confidential trustworthy individual that is used to loud energetic office. Multiple staff members come into accounting office to talk to Administrator all day long. Multiple overhead pages and phone calls to screen. There are two receptionists in other offices but must not mind overhead pages and understand how to tune out that noise. You will work in large 3 office suite but you are in the front area and will see multiple appointments coming and going. This is not a quiet work space and I need someone who is OK with doing data entry and filing with multiple interruptions. PLEASE ONLY APPLY IF YOU HAVE DONE CLERICAL WORK FOR 5+ YEARS AT EACH PREVIOUS POSITION. There is a lot of training involved and we need someone who is able to stay for 5:10 years. We do not want to train someone who leaves positions quickly.
Job Tasks include:
Personnel Activities for Busy Home Health Agency : Interviews, Staffing appropriate candidates to open list of positions.
Prefer 10AM to 7PM M:F
Typing/Computer skills
Payroll/Billing skills (MUST KNOW ADP PAYROLL PROGRAM)
Data entry (Accurate skills)
Phone calls: telemarketing, pleasant professional phone manner
Very detailed filing of confidential documents
Payroll/Bookkeeping must know Quickbooks
Assist in making marketing schedules for field marketing reps and working on expense reports/business cards.
Telemarketing calls and setting up appointments
Assist in staffing, reception, human resources, billing and payroll (multiple offices to float to for emergency relief)
Ability to multi:task. Prefer someone who is quiet, business like, professional who stays out of office politics. Need someone very trustworthy and confidential as you will see many confidential financial documents and may involved in banking for the business. Bill paying with company credit cards, filing and keeping track of company contracts (fill out contracts and fed ex to referral sources), assist with payroll. Good memory is essential and ability to keep and follow to do list and complete new tasks daily. Must be able to juggle priorities daily with good communication skills. Prefer independent individual who is not there to make friends with other office staff and who can handle confidential financial issues.
Assist in new health plan (assist personnel director in enrolling new employees) and keeping track of who is eligible. Prefer someone who has computer skills and very good memory.
Experienced in office skills and bookkeeping skills. Willing to work overtime/week:ends occassionally. Mainly Monday through Friday Majority of the time hours are 8/9 to about 7PM Mon:Fri.
